Customer Service Representative – Burnaby

Reports to: National Business & Customer Service Manager

Qualifications required

Education / Experience

  • Minimum of a high school diploma or equivalent. Post-secondary education in Business Administration or a related discipline would be a definite advantage.
  • Proven experience as a Customer Service Representative in a sales-oriented environment.
  • Familiarity with technical products and a demonstrated ability to effectively understand and communicate technical information.

Knowledge / Skills / Abilities

  • Attention to detail.
  • Ability to adapt to changing priorities and working in a fast-paced environment.
  • Ability to work cooperatively in a team environment.
  • Time management skills.
  • Excellent verbal and written communication skills.
  • Computer skills with proficiency in ERP software, Excel, Word, and Outlook.


  • Convert BC Quotes into Sales orders.
    • Review sales orders to ensure everything matches the quote.
    • Verify the accuracy of the sales order against the customer’s purchase order.
    • Ensure customer PO# is entered and a copy is attached to the sales order.
    • Verify taxes are correct (must match province product shipping to).
    • Shipping method.
    • Payment terms.
    • Enter necessary notes in the sales order for purchasing.
  • Contact customers when required for credit card payment information.
  • Process credit cards for payments.
  • Email credit card receipt to customers and attach a copy to the sales order.
  • Email order confirmation to customers.
  • Continuous follow-up on orders that are waiting for products from suppliers.
  • Communicate with sales/customer if the order will not ship to the customer by the required date.
  • Daily review of CSR report to identify orders ready to ship.
  • Daily review of CSR report for follow-up on orders not ready to ship.
  • Create shipping documents and send them to the warehouse (print pick slip).
  • Communicate with customers regarding shipping information when required.
  • Regularly checking incoming emails.
  • Respond to customer inquiries about orders/invoices.
  • Invoice sales orders.
  • Calculate freight charges for the invoice.
  • Enter invoices on online portals where required.
  • Send RMA to customers for product return.
  • Issue credit notes to customers.
  • Participate in warehouse inventory counts.
  • Other duties as requested.
